KLAS Solutions, LLC, operating the KLAS Dental Coaching division (“KLAS Dental Coaching,” “KLAS,” “we,” “us,” or “our”), respects your privacy.
This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you:

- Request a discovery call, consultation, assessment, or other service;
- Enroll in a Practice Pulse subscription or custom coaching program;
- Participate in the Dental Entrepreneur Program;
- Request or complete a Practice Health Assessment;
- Use the KLAS Dashboard or receive KPI reports, scorecards, benchmarking, or financial analyses;
- Participate in dental practice, business, team, leadership, operational, or transition-readiness coaching;
- Attend an onsite coaching visit, webinar, meeting, continuing-education program, or training session;
- Download a guide or other resource;
- Purchase a product or service;
- Communicate with our coaches, analysts, consultants, employees, or representatives; or
- Otherwise interact with KLAS.
This Privacy Policy applies to information collected through our websites and through our coaching, consulting, assessment, analytics, and related business services.
It does not replace the terms of an engagement agreement, subscription agreement, Business Associate Agreement, nondisclosure agreement, continuing-education registration, or other written agreement that applies to particular information or services. When another applicable written agreement provides greater protection or different requirements, that agreement will control with respect to the information it covers.
1. Information We Collect
The information we collect depends on how you interact with KLAS.
A. Contact and Inquiry Information
When you submit a form, request a discovery call, download a resource, register for a program, or otherwise contact us, we may collect:
- First and last name;
- Email address;
- Telephone number;
- Dental practice or organization name;
- Professional title or role;
- Dental specialty;
- Number of providers or locations;
- Practice address or geographic market;
- Preferred coach, analyst, or consultant;
- Appointment and scheduling information;
- Your practice goals, concerns, challenges, or areas of interest;
- Information about the coaching tier, assessment, program, or service you are considering;
- Questions and messages submitted through free-text fields; and
- Any other information you voluntarily provide.
Our website forms and related communications may be processed through Pipedrive, SendGrid, and other providers that support customer-relationship management, form processing, lead management, scheduling, and communications.
B. Dental Practice and Business Information
When you engage KLAS for coaching, consulting, benchmarking, dashboard reporting, a Practice Health Assessment, or another service, we may collect information concerning your dental practice, including:
- Practice history, ownership, legal structure, and locations;
- Dental specialty and services offered;
- Number and types of providers;
- Number and types of employees;
- Operating hours and appointment capacity;
- Active-patient counts and new-patient activity;
- Scheduling, cancellation, reappointment, and no-show information;
- Hygiene-department performance;
- Treatment-planning and case-acceptance information;
- Unscheduled treatment information;
- Production and collection information;
- Provider and hygienist production;
- Accounts-receivable reports and aging information;
- Insurance, payer-mix, reimbursement, and write-off information;
- Claims-submission, rejection, and denial information;
- Fee schedules;
- Revenue-cycle-management information;
- Profit-and-loss statements;
- Balance sheets;
- Cash-flow information;
- Budgets, forecasts, and financial targets;
- Break-even and profitability information;
- Payroll, compensation, incentive, and benefit information;
- Staffing levels, roles, tenure, turnover, and organizational structure;
- Practice policies, workflows, procedures, and systems;

Some of this information may be confidential or proprietary business information even when it does not identify an individual.
C. Practice-Management System and Dashboard Information
To provide the KLAS Dashboard, Practice Health Assessment, KPI scorecards, benchmarking, financial reviews, and related services, KLAS may receive reports or information generated by dental practice-management, accounting, marketing, or other business systems.
These systems may include Dentrix, Eaglesoft, Open Dental, Curve Dental, Denticon, or other practice-management platforms.
Information may include:
- Aggregated production and collection reports;
- Accounts-receivable summaries;
- Provider and department performance;
- Hygiene statistics;
- Scheduling and utilization reports;
- Treatment-plan and case-acceptance statistics;
- New-patient and active-patient counts;
- Reappointment and retention statistics;
- Insurance and payer information;
- Marketing and lead-performance data;
- Financial reports;
- Operational reports; and
- Other practice-level performance information.
KLAS generally seeks practice-level, aggregated, limited, or de-identified information rather than patient-identifying information.
Clients are responsible for following KLAS’s secure data-submission instructions and for avoiding unnecessary disclosure of patient-level information.
D. Leadership, Team, and Professional-Development Information
When you or your team participate in leadership coaching, team development, the Dental Entrepreneur Program, Work of Leaders®, The Five Behaviors®, Everything DiSC®, EOS®-related services, continuing education, or similar programs, we may collect:
- Assessment responses;
- Leadership and behavioral preferences;
- Communication-style information;
- Team-effectiveness information;
- Workplace strengths and challenges;
- Coaching notes;
- Professional-development goals;
- Core values, mission, and vision information;
- Strategic and quarterly goals;
- Roles and responsibilities;
- Hiring, accountability, and incentive-plan information;
- Assessment reports and profiles;
- Feedback provided by participants;
- Attendance and participation information;
- Continuing-education completion information;
- Certificates, credits, or course records; and
- Action plans or recommendations.
Assessment and coaching results are intended for professional development, leadership, team, and business-coaching purposes. They are not medical, psychiatric, or psychological diagnoses.
Third-party assessment or training providers may process information under their own privacy policies and contractual terms.
E. Employee and Team Information
Dental practice owners or managers may provide information about their employees and team members as part of coaching, assessments, onsite visits, interviews, training, or performance improvement.
This information may include:
- Names and business contact information;
- Job titles and responsibilities;
- Employment tenure;
- Scheduling and availability;
- Compensation or incentive information;
- Professional strengths and development needs;
- Assessment responses;
- Training and continuing-education participation;
- Team-interview responses;
- Workplace feedback;
- Performance information; and
- Other information relevant to the coaching engagement.
Dental practices are responsible for providing required notices and obtaining any legally required permissions before disclosing employee information to KLAS.
KLAS will use such information for legitimate coaching, consulting, assessment, training, and engagement-administration purposes.
F. Financial and Payment Information
When you purchase a coaching subscription, assessment, program, training, digital product, or other service, Stripe processes payment and transaction information on our behalf.
Payment-related information may include:
- Name;
- Email address;
- Billing address;
- Payment-card or bank-account information;
- Transaction amount;
- Purchase date;
- Subscription tier or service purchased;
- Payment and subscription status;
- Renewal information;
- Tax-related transaction information; and
- Stripe customer, payment, subscription, or transaction identifiers.
Payment information is generally transmitted directly to Stripe. KLAS does not intend to store complete payment-card numbers or card security codes on its website servers.
Stripe processes payment information under its own privacy policy, terms, and security practices.
G. Webinar, Coaching, Meeting, Audio, and Video Information
Webinars, consultations, coaching sessions, training sessions, team interviews, onsite visits, and one-on-one meetings may be recorded to support:
- Accurate follow-up;
- Documentation of recommendations and decisions;
- Preparation of meeting summaries;
- Creation of action items;
- Training;
- Quality assurance;
- Service delivery;
- Continuing-education administration; and
- Improvement of our programs.
A recording may capture:
- Your name;

Participants who do not want to be recorded should notify KLAS before the session begins so that available alternatives can be considered.
We will not use a private coaching or meeting recording as a public testimonial, advertisement, or promotional recording without appropriate permission.
H. Continuing-Education Information
When you participate in a continuing-education course or event, we may collect:

- Your employees, colleagues, partners, or authorized representatives;

- Affiliated KLAS service divisions;
- Professional and dental directories;
- Licensing databases;
- Business, financial, demographic, or market databases;

You should provide information about another person only when you are authorized or otherwise legally permitted to do so.
2. Healthcare and Patient Information
KLAS provides business coaching, operational consulting, leadership development, financial analysis, benchmarking, continuing education, and related services to dental practices.
KLAS does not provide dental or healthcare treatment through its public website, and the website is not intended to collect patient medical or dental records.
Do not submit patient names, dates of birth, treatment details, dental-record numbers, medical-record numbers, Social Security numbers, insurance identification numbers, clinical records, radiographs, photographs identifying patients, or other patient-level protected health information through a general website form, advertising lead form, ordinary email, or another unsecured communication channel.
When patient-related information is relevant to a coaching, benchmarking, dashboard, Practice Health Assessment, or consulting engagement, KLAS generally seeks to use:
- Aggregated information;
- Statistical information;
- De-identified information;
- Limited data sets where appropriate; or
- Other information that does not directly identify an individual patient.
Examples may include aggregate patient counts, scheduling rates, no-show rates, reappointment rates, collection rates, case-acceptance rates, payer mix, accounts-receivable aging, treatment-plan statistics, and patient-retention rates.
Business Associate Agreements
When KLAS performs services that require access to protected health information and KLAS qualifies as a business associate under the Health Insurance Portability and Accountability Act, KLAS will enter into a Business Associate Agreement with the applicable covered entity or business associate, as appropriate.
Protected health information received under a Business Associate Agreement will be handled according to:
- The applicable Business Associate Agreement;
- HIPAA and its implementing regulations, when applicable;
- Applicable privacy, security, and breach-notification requirements; and
- Any other controlling written agreement.
Protected health information must be transmitted through an approved secure method.
If this Privacy Policy conflicts with an applicable Business Associate Agreement, the Business Associate Agreement will control with respect to the protected health information it covers.

- Determine which coaching tier, assessment, or program may be appropriate;

- Track and analyze practice, business, financial, operational, team, and marketing KPIs;
- Prepare monthly scorecards and written summaries;

- Prepare Practice Pulse Reports;
- Prepare competitive benchmarking reports;
- Calculate or analyze break-even points;
- Assess transition or sale readiness;
- Develop strategic growth plans;
- Prepare owner briefings and team-meeting materials;
- Analyze financial and operational performance;
- Identify revenue opportunities, inefficiencies, and operational risks;
- Develop recommendations and action plans;
- Provide leadership coaching and team-development services;
- Administer the Dental Entrepreneur Program;
- Provide onsite and virtual coaching;
- Administer leadership, behavioral, and team assessments;
- Provide Everything DiSC®, Work of Leaders®, The Five Behaviors®, EOS®-related, or similar services;
- Provide continuing education, training, and course records;
- Monitor engagement progress and performance indicators;
- Prepare reports, dashboards, summaries, and recommendations;
- Provide fractional leadership, integration, or accountability support;
- Deliver guides, assessments, reports, and other resources;
- Process purchases, subscriptions, and payments through Stripe;
- Manage customer relationships through Pipedrive;
- Deliver emails through SendGrid;
- Send consultation responses, appointment notices, and service communications;
- Send newsletters, webinar invitations, educational materials, and marketing communications;
- Record and review meetings or webinars where disclosed and permitted;
- Create follow-up notes, summaries, and action items;
- Provide customer support;
- Improve our websites, coaching programs, assessments, dashboards, and services;
- Analyze website traffic, usability, and performance;
- Measure advertising conversions and campaign effectiveness;
- Create advertising or remarketing audiences where permitted;
- Prevent fraud, abuse, spam, unauthorized access, and security incidents;
- Maintain business, accounting, tax, accreditation, and contractual records;

B. Assessment, Training, and Accreditation Providers
When you participate in a licensed assessment, leadership program, continuing-education course, or team-development program, information may be disclosed to the applicable provider or accrediting organization to:

- Score assessment responses;

- Provide licensed materials;
- Maintain participant accounts;
- Verify attendance or completion;
- Issue continuing-education documentation;

These providers may include providers of Everything DiSC®, Work of Leaders®, The Five Behaviors®, EOS®-related tools, continuing-education programs, or similar services.
C. Professional Advisers

- Financial advisers;
- Human-resources consultants;
- Revenue-cycle consultants;

D. KLAS Affiliates
KLAS Dental Coaching is part of the KLAS Solutions family of services.
We may disclose information among affiliated KLAS divisions when reasonably necessary to:
- Respond to your request;
- Coordinate services;
- Manage a client relationship;
- Provide an integrated service offering; or
- Introduce you to a relevant KLAS service.
Affiliated services may include:
- Healthcare coaching;
- Practice transitions and valuation;
- Accounting and tax services;
- Marketing;
- Real estate; and
- Other consulting or advisory services.
We will not disclose protected health information to an affiliated service line unless the disclosure is authorized, permitted by law, and subject to any required Business Associate Agreement or other safeguard.
E. Legal, Regulatory, and Safety Disclosures
We may disclose information when we reasonably believe disclosure is necessary to:
- Comply with applicable law or regulation;
- Respond to a subpoena, court order, or lawful government request;
- Meet continuing-education or accreditation requirements;
- Protect the rights, property, safety, or security of KLAS, our clients, or others;
- Investigate suspected fraud, misconduct, or unauthorized activity;
- Respond to a privacy or security incident;
- Enforce an agreement; or
- Establish, exercise, or defend a legal claim.
F. Business Transactions

G. With Your Direction or Consent
We may disclose information for another purpose when you direct us to do so or provide consent.
5. Sale, Sharing, Targeted Advertising, and Remarketing
KLAS does not sell personal information in exchange for money.
However, our use of Google Analytics, Microsoft Clarity, Meta Pixel, Google Ads, remarketing technologies, advertising cookies, and similar tools may be considered a “sale,” “sharing,” “targeted advertising,” or “cross-context behavioral advertising” under certain state privacy laws.
These technologies may allow providers to:
- Receive browser, device, and website-activity information;
- Associate activity with advertising or analytics identifiers;
- Determine whether an advertisement resulted in a website visit, inquiry, or purchase;
- Create, refine, or measure advertising audiences;
- Display KLAS advertisements after you visit our website; and
- Measure advertising reach, frequency, and performance.
Where required by applicable law, we will provide a cookie banner or privacy-preference tool through which users can reject or manage nonessential analytics and advertising technologies.
You may also request to opt out of applicable selling, sharing, or targeted advertising by contacting us using the information in Section 18.
We do not knowingly sell or share the personal information of individuals under 18.

You can manage cookies through your browser settings and through any cookie-preference tool available on our website. Disabling certain technologies may affect website functionality.
Where consent is legally required, nonessential technologies should not be activated until the required consent has been obtained.

We use SendGrid and potentially other communication providers to send:
- Discovery-call responses;
- Consultation confirmations;
- Appointment reminders;

- Dashboard or report notices;

- Webinar confirmations;

- Promotional messages.
Email providers may process:
- Your name and email address;
- Delivery status;
- Message-open information;
- Link-click information;
- Device information;
- IP address; and
- Similar engagement information.
You may unsubscribe from promotional emails by selecting the unsubscribe link in the message or contacting us.
Opting out of promotional email does not prevent us from sending administrative, contractual, transactional, security, subscription, or service-related communications.
8. Text Messages and SMS Communications
KLAS does not currently use SMS text messaging as a regular marketing channel but may introduce SMS communications in the future.
Before beginning regular SMS marketing, KLAS intends to implement appropriate:
- Consent language;
- Opt-in procedures;
- Recordkeeping;
- Carrier disclosures;
- Privacy disclosures; and
- Opt-out procedures.
SMS communications may eventually be used for:
- Appointment reminders;
- Consultation follow-up;
- Webinar or training reminders;
- Assessment notices;
- Subscription or service updates;
- Educational messages; and
- Promotional messages where authorized.
Consent to receive marketing text messages will not be a condition of purchasing services unless clearly disclosed and legally permitted.
Message and data rates may apply. Message frequency may vary. Recipients will be able to withdraw consent using instructions provided in the message, such as replying “STOP.”
This Privacy Policy or a separate SMS policy will be updated before regular SMS marketing begins.
9. Webinar, Event, Coaching, and Meeting Recordings
We may record webinars, coaching sessions, consultations, training sessions, team meetings, interviews, or one-on-one meetings to ensure accurate follow-up and support the purposes described in this policy.
Before recording, KLAS may provide notice through:
- Registration language;
- An invitation or confirmation email;
- An on-screen notice;
- A verbal announcement;
- A platform recording notification; or
- A written agreement.
Recordings will not ordinarily be made public unless participants have provided appropriate permission or the event was clearly identified as a public recorded presentation.
Participants should avoid displaying or discussing patient-identifying information during a recorded session unless the session is conducted through an approved method and the disclosure is permitted under an applicable Business Associate Agreement.
10. Confidentiality of Dental Practice Information
KLAS recognizes that dental-practice coaching and assessments can involve sensitive financial, operational, workforce, leadership, patient-flow, marketing, and strategic information.
We use reasonable administrative, contractual, technical, and physical measures intended to:
- Restrict access to authorized individuals;
- Limit use to legitimate service and business purposes;
- Protect confidential reports, dashboards, and assessments;
- Safeguard practice financial and operational data; and
- Prevent unauthorized disclosure.
A statement that a website submission is confidential means that KLAS will treat it as confidential within its business operations. It does not mean that ordinary internet transmissions or email messages are guaranteed to be encrypted, legally privileged, or immune from unauthorized access.
Additional confidentiality obligations may be contained in an engagement agreement, subscription agreement, nondisclosure agreement, Business Associate Agreement, or other written contract.
11. Data Security
KLAS uses reasonable administrative, technical, and physical safeguards designed to protect personal, professional, and confidential business information.
These safeguards may include:
- Role-based access controls;
- Password protections;
- Multifactor authentication;
- Encryption where appropriate;
- Secure hosting and cloud-service providers;
- Vendor-management practices;
- Confidentiality requirements;
- Data backups;
- Security monitoring;
- Secure file-transfer methods; and
- Security-incident-response procedures.
No website, internet transmission, email system, videoconference, storage platform, dashboard, or security measure is completely secure. We cannot guarantee absolute security.
Do not send protected health information, Social Security numbers, complete payment-card details, account passwords, or similarly sensitive information through an ordinary website form or unencrypted email unless KLAS has specifically instructed you to use that method.
12. Data Retention
We retain information for as long as reasonably necessary to:
- Respond to an inquiry;
- Schedule or conduct a consultation;
- Provide coaching, consulting, assessment, dashboard, or reporting services;
- Administer a coaching subscription;
- Monitor ongoing performance and benchmarks;
- Maintain an active client relationship;
- Deliver reports, guides, and resources;
- Support continuing or recurring coaching programs;
- Maintain continuing-education records;
- Process and document purchases and subscriptions;
- Maintain business, accounting, and tax records;
- Fulfill contractual commitments;
- Comply with legal, regulatory, accreditation, and professional obligations;
- Resolve disputes;
- Enforce agreements; and
- Protect against fraud or legal claims.
Retention periods vary based on:
- The type and sensitivity of the information;
- The nature and duration of the engagement;
- Whether services are recurring;
- Contractual requirements;
- Accreditation requirements;
- Applicable law; and
- Legitimate business needs.
Meeting and webinar recordings will be retained only for as long as reasonably necessary for follow-up, documentation, training, quality assurance, or other disclosed purposes, unless a longer period is required by law or agreement.

13. Marketing and Communication Choices
You may:
- Unsubscribe from promotional email by using the unsubscribe link;
- Contact us to request that marketing emails stop;
- Manage nonessential cookies through our cookie-preference tool;
- Adjust cookies through your browser;
- Request to opt out of applicable targeted advertising, selling, or sharing; and
- Withdraw consent to future SMS marketing if SMS services are introduced.
Marketing opt-outs do not prevent us from sending communications necessary to:
- Provide requested services;
- Manage a coaching subscription;
- Complete a transaction;
- Administer an assessment or continuing-education program;
- Manage an appointment;
